Modernizing SAM.gov: What You Need to Know About the Upcoming Entity Registration Refresh

Big news for SAM.gov users! Get ready for significant updates to the entity registration process, starting June 23, 2025. The General Services Administration (GSA) is rolling out incremental improvements to make the platform more modern and user-friendly. Here’s a breakdown of what’s staying the same and what exciting changes are on the horizon.

What’s Staying the Same?

If you’re already familiar with SAM.gov, you’ll be glad to know that many core aspects of the entity registration process will remain unchanged.

  • Getting Started: The way you initiate adding or renewing your entity will be the same. The first pages you encounter when creating a new entity will also be familiar.
  • Requirements and Information: The fundamental requirements for registering or updating your registration in SAM.gov, including the specific information you need to provide, are not changing.
  • Validation Processes: For entities needing to complete validation or obtain a Unique Entity ID (UEI), the existing requirements will continue to apply. This includes the validation and entity submission processes, as well as the wait times for entity validation, taxpayer information reporting to the IRS, IRS validation, and CAGE validation.

What’s Changing? A Modernized Experience!

The primary focus of these updates is to enhance the user experience. You’ll notice several improvements as you navigate the registration process:

  • Modern Look and Feel: Some data entry pages will feature a refreshed, modernized design that aligns with the latest SAM.gov interface. As pages are replaced, they will adopt this new look.
  • Streamlined Navigation: Expect a different navigation structure. Data entry that previously resided on a single page will now be divided into more user-friendly sections. Similar fields will be grouped together to simplify understanding and preparation.
  • New Business Information Module: Entity validation will now be integrated into a new Business Information module. This means all your business information will be entered in one consolidated location, though the system will still use the same required fields to verify your entity’s legal existence and uniqueness.
  • Enhanced Page-Level Help: A particularly exciting change is the introduction of page-level help for entity registration. As you move through the process, the available help will dynamically update, showing you articles directly related to your current step. This makes finding the information you need, precisely when you need it, much easier.

A Phased Approach for Smooth Transitions

These upcoming changes will be released in phases, gradually moving a few pages at a time from the old technology to the updated experience. This allows for a smooth implementation that minimizes disruption and ensures a better overall user experience.

  • First Modules: The initial set of pages to be updated will be the Business Information and Taxpayer Information modules. These are scheduled for release on June 23, 2025.
  • Ongoing Updates: Further updates will continue to roll out over several months following the initial release.
